Inquiry Profiles

The primary tool for reporting on posted transactions in time@work or eXpense is the Inquiry Profile.

In an Inquiry Profile you can:  

  • Define whether you want to report from the Actuals Ledger (Actuals) or from other files such as Budgets, Invoices or Archives.
  • Define how you want to select records.
  • Define which data you want to appear in the report.
  • Define how you want to sort the output data.
  • Optionally, define Crystal Reports templates in order to format the output data

In this example you will create an Inquiry Profile which will show Fees in Local Currency for all posted Timesheets. Alternatively the exact same approach would be used to show expense related information for a particular Employee, Department or Accounting Period.

 

The right hand panel indicates that you are extracting data only from the Actuals Ledger.

These Selection Criteria restrict the report to Timesheet data only, exclude all time recorded against Projects belonging to the internal ‘administration’ Client, include only Time values posted with a Status of ‘Charge’ and allow the entry of a runtime selection of Accounting Period.

 

You can select various data from the Project Ledger and other records and choose whether to summarise it by using the Group by selected fields Checkbox. Calculation 05 contains the value of Fees in local currency.

 

If Crystal Reports is used to format your data then you do not need to specify a sort sequence.

 

 

When you run the Profile you are asked to specify an Accounting Period (note that if you do not specify a period All periods are assumed).

 

Grid view shows the data as follows:

 

Click on the Excel button to export the entire grid of data into a new Excel spreadsheet.


Alternatively you may invoke a Crystal Reports template to show the data in a more readable format.
