Version 3.1.1 of time@work & expense@work has been released and contains a number of significant enhancements.


Enhancements Summary

  • The option to define how Employees can update other Employees’ Diaries in the PSW (controlled by parameters on Employee-to-Employee Role definition records). This greatly extends the My Diary option in 3.1 which allows an Employee to view and update his or her own Diary.

  • Improvements to the performance of Budgeting

  • Enhancements to Routing Rules to cover EXPENSE forms in addition to Timesheets. This allows you to specify up to ten additional Authorisation and ten additional Review steps for Forms. These steps may also be made conditional on summarized or non-summarised calculation values (for example, total value of the expense form).

  • A terminology change throughout time@work. ‘Expense Forms’ have been renamed ‘Forms’ to reflect the fact that, with the additional  possibilities of Routing Rules, Forms may be used for a wide range of functions (Expenses, Absence Requests, Travel Requests, Procurement, etc.).

  • Enhancement of the demonstration database to illustrate this new functionality.

Additional Information

You may now define, for Employee-to-Employee Roles, whether an Employee can see (and update) his Supervisor’s, his Peers’ and his Subordinates’ Diaries. This makes resource allocation possible through the PSW.

Assuming that you have defined an Employee-to-Employee Role called ‘Line Manager’ you may mark this Role as allowing:


Supervisor’s Diary      Visibility          and/or             Update

Peers’ Diary               Visibility          and/or             Update

Subordinates’ Diary    Visibility          and/or             Update

 
For example, assuming a hierarchical Employee structure as follows (these relationships being defined on the Roles tab of each Employee record):

 
A         is the Line Manager of          AA & AB

AA       is the Line Manager of          AAA & AAB & AAC

AB       is the Line Manager of          ABA & ABB

AAA     is the Line Manager of          AAAA & AAAB

 

  1. If Visibility is checked for Supervisor for the Line Manager Role, then AA can see A’s Diary, AAAA can see AAA’s Diary, etc. If Update is additionally checked then they may also update their supervisors’ Diaries.



  2. If Visibility is checked for Peer for the Line Manager Role, then AA can see AB’s Diary, ABA can see ABB’s Diary, etc. If Update is additionally checked then they may also update their peers’ Diaries.



  3. If Visibility is checked for Subordinates for the Line Manager Role, then A may see AA’s and AB’s Diary, AAA may see AAAA’s and AAAB’s Diaries. If Update is additionally checked then they may also update their Subordinates’ Diaries.

There are further checkboxes on the Role record that allow expansion of visibility and update to subordinates’ subordinates’ Diaries, and Drill up to supervisor’s supervisor’s Diaries.

Other Employees’ Diaries may be viewed and updated after Employees have been checked on the Employee Index. However, only the data of Employees whose Diaries are permitted to the Employee logged in to the PSW are visible or updatable.
